Reminders for Microsoft Teams

💡 When you press the @ key Teams lets you search for the person you want to mention. Please note that the user must be a member of the current chat or channel.

Please note: If the chat feature is disabled in your version of Teams, the bot will not be able to send a reminder to the user.

📅 Time and date formats
The bot understands a variety of date and time formats - some examples are shown below
Increments of time: in 10 seconds, in 17 minutes, in 1 hour, or in 24 hours. E.g. @Remind "Call Jenny" in 45 minutes
Specific time: at 6:25pm (12-hour clock), at 15:10 (24-hour clock). E.g. @Remind "Send report" at 4:15pm
Specific date: on March 1, on 8 Feb. E.g. @Remind "Send annual report" on March 31
Specific day: every weekday, every Monday. E.g. @Remind "daily standup meeting" every weekday at 10am
If you don’t include a time of day, Remind will default to 9:00am on the day or date you choose. You can change the default time on the settings page in the "Reminders" tab.
🌏 Time zones
Remind knows your current time zone and takes Daylight Savings Time (DST) into account. If you set a reminder in a chat or channel and your team members are in a different time zone you might need to account for the time difference when setting your reminder. There are two ways to achieve this:
Set reminder for a different time: You are in London (UTC+0) and want to schedule a reminder for 9am. Your team members all work in Central European Time (CET, UTC+1). You need to set the reminder for 10am their time.
Specify the time zone: You are in London (UTC+0) and want to schedule a reminder for 9am. Your team members work in Indian Standard Time (IST, UTC+5:30).

🚨 The bot will always confirm the reminder using your current device time. Carefully review the time and date.
♻ Recurring reminders
Here are some ways to format the [when] portion of a recurring reminder for yourself, a group chat or a channel:
@Remind "attend the team meeting" every Tuesday at 11:00
@Remind "daily standup meeting" every weekday at 10am IST
@Remind "turn in expense reports" on the 25th day of every month
@Remind "file reports" on the 3rd Thursday of every month at 2pm
@Remind "prepare reports" on the second to last weekday of every month

You can also set recurring reminders for your team members by mentioning them:

A more complex example of a recurring reminder (only works in a 1-on-1 chat with the bot):

🛠️ Manage your reminders
Type @Remind list to view a list of your upcoming, past, or incomplete reminders.
Delete the reminders you no longer need or created by mistake.
If the reminder has been set as part of a conversation, click View to get back to it.
Mark reminders as Complete and simply click View completed reminders to see a full list.
💡 Recurring reminders cannot be completed, only deleted or paused/resumed.
You can also manage your reminders and change settings like the default time in the Reminders tab of the bot

- When you set a reminder in a group chat or channel and activate the "announce" option, the new reminder will be announced to all other conversation members. If you then delete the reminder before it has occurred, the announcement will now be removed as well.

- You can now add Remind to Outlook or Office so that you don't have to switch to Teams to set a reminder. Please note that this currently only works for the beta channel version ("targeted release" in release preferences of Microsoft 365 admin center) of Outlook/Office for Windows and web.

- Reminders on messages can now be edited (Yes, finally! Thanks to everybody who got in touch about this.)
- One-off group chat and channel reminders can now be completed. For recurring reminders, users can mark each occurrence as completed. A log is kept in the Reminders tab, so you can look up the date and time when a reminder was marked as complete as well as the user who completed it.
- When you set a new channel reminder and edit it within 15 minutes, the original channel announcement gets now updated. This avoids spamming the channel with tweaks to your reminder.

- Teams on Android and iOS has an issue when setting reminders on messages in group chats. Added workarounds (Thanks for the bug reports, Tracey and Sandy!)

- In the latest version of the Teams Android app you can now set reminders on messages by pressing a message and then swiping up to see the "Remind me about this" option. iOS support should follow soon.
- Added a setting to disable reminder confirmations in the 1:1 chat with the bot. Please make sure you are familiar with the bot syntax before disabling confirmations.

A: No, you only need to buy seats for users who
(1) set reminders

(2) need more reminders than are included in the free plan.Q: What happens if I hit the reminder limit on the free plan?
A: You can upgrade to a paid plan or you can delete an old reminder to stay inside the limits of the free plan. Example: You are on the free plan and already have 2 recurring personal reminders. To set another one and stay on the free plan, delete or pause an existing recurring personal reminder.Q: Do I need to purchase all seats on the same subscription?
A: No, your organisation can have multiple subscriptions. Example: Your organisation requires 20 seats. You could have 1 subscription with 20 seats, 5 subscriptions with 4 seats each or 20 subscriptions with 1 seat each. Any combination is possible but having fewer subscriptions will make things easier to manage for you.Q: How can I assign users to a subscription with multiple seats?
A: After you have purchased a subscription you will see a "Manage users" button on the subscription page that lets you search for users to assign to the subscription. Alternatively there is a subscription code along with a special link displayed on the subscription page, simply forward this link to the users you would like to use a seat on the subscription. The link opens their Teams client and automatically assigns a seat on the subscription.Q: Can I change the number of seats once I have purchased a subscription?

I can't find the Remind app when searching in the Teams app store
A: An admin of your organisation has most likely deactivated the ability of Teams users to install apps. The Teams admin has multiple settings available to limit the ability to install apps.

Q: The app is enabled but I still can't install it / My Teams is behaving weirdly after adding your app / Your app crashed my Teams
A: Teams caches data and settings aggressively and sometimes things break. Please clear the Teams client cache, this procedure helps with a lot of different issues.
Q: I have purchased this app through Teams/the Teams admin backend but my subscription is not active
A: On the last screen of the purchase process there is a button "Setup your account" which is easy to miss. Please open your Microsoft subscriptions management, press Remind and then press "Setup account" on top. This will open the landing page where you can activate your trial subscription.
Q: I have purchased this app through Azure but my subscription is not active
A: You need to wait until the "configure account now" button becomes active, press it and activate your subscription on the landing page. Alternatively, you can open the "Saas" page in the Azure portal later on and activate your trial there by pressing Remind and then "configure account now".
Q: I have purchased this app through Microsoft and activated the subscription, how do I assign users?
A: Please log into the app's landing page as an admin.
Q: I have purchased this app through Microsoft, activated the subscription and assigned users. Why does the Teams admin center show zero user licenses?
A: Remind was released before Microsoft introduced the user assignment in the Teams admin center and still uses the old way of managing users, where every app manages user assignment on its landing page.
Q: How do I add this bot to a group chat or channel? / How do I set a reminder for other users?

Q: Can I add this bot to a private channel?
A: Microsoft currently does not support adding bots to private channels, but there is a workaround where the reminders are sent to the private channel via the channel's email address. Please follow the instructions here: https://teamsreminder.app/#private-channel-reminders
Q: Which data is collected by the app and is shared with 3rd party services?
A: No data is shared with 3rd party services, except: When you decide to purchase a license outside of Microsoft, your name and email address is shared with our credit card payments processor (Stripe) to facilitate the payment. Q: Why do I have to login when viewing the Reminders tab for the first time?
A: All tabs are public websites embedded into Teams. Without authentication it might be possible for malicious actors to view or manipulate your data. Even though the exact URL of your tab might be impossible to guess, it is still a public website. This is why Microsoft recommends protecting tabs with Microsoft single sign-on (SSO) authentication. During the first authentication with Remind, Teams will display this standardized SSO popup:
You only need to consent once and will not be asked again.
Q: I changed the time zone on my device and when I type a reminder now the time is wrong.
A: This is a long standing issue with the Teams client. After the device's time zone has been changed the bot still receives the old time zone, which causes this issue. The workaround is to restart the Teams client. Really sorry for the inconvenience 🙏
Q: I have set a reminder on a message but never received it.
A: Please make sure to unblock the bot.
Q: I don't receive reminder notifications on Teams for Android

Q: I want the reminder to show a custom popup/play a custom ringtone/flash the screen/etc.
A: Unfortunately the bot can not control how Teams shows notifications, this is entirely dependent on your Teams settings. You can change the notification settings by clicking your user avatar in the top right corner, then select "Settings", then "Notifications". Click here for Microsoft's latest notification howto
Q: I don't get a reminder popup notification while I'm on a call in Teams.
A: Whether Teams shows a notification popup during meetings depends on your notification settings (see above). You can add Remind to the list of priority access users in your Teams settings: Settings -> Privacy.
How to create a new conversation when a channel reminder occurs
When you set a reminder in a channel, Remind will by default continue the conversation.

How to add a reminders tab to a chat or channel
Open a group chat, meeting chat or channel and click the + icon on top
Search for "Remind" and click the icon

"do this every two weeks" every other Tuesday starting on 06/02/2020: Use this syntax to set a different starting date for bi-weekly reminders
"do something every 21 days" every 21 days starting on 06/02/2020: Set a reminder for every X days with an optional start date
"on-call manager rotation!" every 4 weeks at 9am starting on 06/02/2020: Set a reminder for every X weeks with an optional start date
"do something twice a year" every 6 months starting on 06/02/2020: Set a reminder for every X months with an optional start date
Please note that if your Teams client is set to "English - United States" the start date should be written as month/date (06/02) but if your client uses a different language you should use date/month (02/06) when writing the date.
"check the project twice a month" on 1st and 3rd Friday of every month at 11am: Set a single recurring reminder for two dates
"send reports" by the 20th day of every month: A monthly deadline reminder. Fires on the last weekday (Mo-Fr) on or before the 20th every month. So if the 20th is on a weekend, it fires on Friday.
Add a bot to a chat or channel in MS Teams
MS Teams offers a lot of apps and bots that enable you to work more efficiently. But how do you add a bot to a chat or channel in Teams?
Select which chat or team you want to add the bot to and press "Set up a bot". Please note: Teams currently does not support adding bots to private channels, but you are able to set reminders on messages in private channels.
You can also mention other users so that they become part of your bot command. You can mention as many users as you like:@Remind @user1 @user2 (...) "enter timesheet details" every friday at 3:30pmThese users will receive the reminder in the 1-on-1 chat with the bot. Please note: You can only mention users that are part of the current chat or channel.
Uninstalling bots and apps in MS Teams
Apps and bots can easily be installed in Teams. But what about removing them?
If you want to remove the app from your personal chat, click the three dots on the left side of your Teams client, search for Remind and drag it to the left pane.
Right click the app icon and select "Uninstall"
If you want to remove the app from a group chat, select the three dots next to the group chat name and select "Manage apps":
Search for the apps you want to remove and click the little trash icon on the right.
If you want to remove the app from a team / channel conversation, click the three dots next to the team name and select "Manage team":
Select "Apps" tab on top and then select which app you want to uninstall by clicking the little trash icon.

Your Account
- You may not use the Service if You are a person barred from receiving the Service under the laws of the United States or other countries, including the country in which You are resident or from which You use the Service.

Use of the Service
- You must provide accurate and complete registration information any time You register to use the Service.
- You are responsible for the security of Your passwords and for any use of Your account.

Service Policies and Privacy

Fees for Use of the Service
- The Service may be provided to You without charge up to certain limits.
- Usage over this limit requires Your purchase of additional resources or services.
- For all purchased resources and services, we will charge You on either on a monthly or annual basis, depending on the type of subscription plan you select when purchasing a Subscription.
- Charges are solely based on 88 Ventures' measurements of Your use of the Service, unless otherwise agreed to in writing.
- All fees are exclusive of all taxes, levies, or duties imposed by taxing authorities, and You shall be responsible for payment of all such taxes, levies, or duties.
- You acknowledge and agree that any credit card and related billing and payment information that You provide to 88 Ventures may be shared by 88 Ventures with companies who work on 88 Ventures' behalf, such as payment processors and/or credit agencies, solely for the purposes of checking credit, effecting payment to 88 Ventures and servicing Your account.
- 88 Ventures may change its fees and payment policies for the Service by notifying You at least thirty (30) days before the beginning of the billing cycle in which such change will take effect.
- Should automatic billing fail to occur for any reason, 88 Ventures will issue an electronic invoice indicating that you must proceed manually, within a certain deadline date, with the full payment corresponding to the billing period as indicated on the invoice.

Certain refund requests for Subscriptions may be considered by 88 Ventures on a case-by-case basis and granted in sole discretion of 88 Ventures.
Cancellation and Termination
At the end of each Billing Cycle, your Subscription will automatically renew unless you cancel it or 88 Ventures cancels it. You may cancel your Subscription renewal either through your online account management page or by contacting 88 Ventures customer support team.
You agree that 88 Ventures, in its sole discretion and for any or no reason, may terminate or suspend Your account. You agree that any termination of Your access to the Service may be without prior notice, and You agree that 88 Ventures will not be liable to You or any third party for such termination.
Ideas and Feedback
You may choose to or we may invite You to submit comments or ideas about the Service, including but not limited to ideas about improving the Service or our products (“Ideas”). By submitting any Idea, You agree that Your disclosure is unsolicited and without restriction and will not place 88 Ventures under any fiduciary or other obligation, and that we are free to use the Idea without any additional compensation to You, and/or to disclose the Idea on a non-confidential basis or otherwise to anyone.
Modification of the Service
You acknowledge and agree that the Service may change from time to time without prior notice to You.
Changes include, without limitation, changes to fee and payment policies, security patches, added or removed functionality, and other enhancements or restrictions.

Indemnification
You agree to hold harmless and indemnify 88 Ventures, and its subsidiaries, affiliates, officers, agents, employees, advertisers, licensors, suppliers or partners from and against any third party claim arising from or in any way related to (a) Your breach of the Terms, (b) Your use of the Service, or (c) Your violation of applicable laws, rules or regulations in connection with the Service, including any liability or expense arising from all claims, losses, damages (actual and consequential), suits, judgments, litigation costs and attorneys’ fees, of every kind and nature. Choice of Law and Dispute Resolution

The Terms of Service shall be deemed to have been entered into and shall be construed and enforced in accordance with the laws of Hong Kong as applied to contracts made and performed entirely within Hong Kong, without giving effect to any conflicts of law statutes. Website Visitors

- The reminder text that you set
- Date and time information for when the reminder should occur
- Your name (your name is transmitted by Teams and the app stores it as part of your user identity. The name is used when reminders are listed, for example "User A set a reminder for this group chat", "User A set a reminder for user B", etc.)
- When you set a reminder for someone else by @ mentioning them, the app tries to get the name for this user so that it can be displayed in the list of reminders.
- If you set the reminder in a channel, the names of the team and channel are stored to show them in your list of reminders.When you set a reminder on a message by hovering over it and clicking the ellipsis (⋯)
- The name of the user that sent the message (displayed in your list of reminders, for example "A message from user B". This only works if the bot is part of the group chat or channel where the original message was sent).
- Part of the message, so that it can be displayed as a preview.
(2) Data that is collected by the app and not stored and not sent to third parties
The "Reminders" tab has an admin option, where the Microsoft admin of an organization can browse all public reminders in the organisation (and delete them, if necessary). This option accesses the employee records of the organization so that the admin can search for users and requires admin permission. This data is not stored or cached and is accessed for every search request. Usage of this feature is entirely optional.
(3) Data that is collected by the app and not stored but sent to third parties
If you decide to go for a subscription the app will ask you for the following information and share it with our payments processor (stripe.com) to facilitate the payment:
- Your email address so that you can receive a receipt
- Your name
- Your credit card detailsThe app does not see your credit card details at all, the form is provided by the credit card processor stripe.com, which provides the PCI compatible handling of card data. They will also store your name and email address and send you your receipt. The invoice you can download after you have subscribed comes from their server as well.

💡 Setting reminders in private channels is currently a beta feature. Since Microsoft still does not support adding bots to private channels you need to add the tab instead (instructions below). The reminder will then be delivered via email to the private channel's email address when it occurs. Please note that the setup process is a bit more involved and there are several caveats, listed at the bottom of this page. You need to be a team owner to complete the setup.

Step #1: Adding the tab to a private channel
Please press the + symbol on top of the private channel, search for Remind, select it and press "Add".
The tab will load and you will see that the "Set reminder" button is disabled because the channel's email address has not been set yet.
Step #2: Setting the channel's email address
As a team owner: Select the three dots next to the channel name and select "Get email address". Select "advanced settings" and select either "Anyone can send to this channel" or add the teamsreminder.app domain to the list of allowed senders. Press "Save".
Open "Get email address" again and select "Copy" and then paste the address (using ctrl-v on your keyboard) into the "Channel email address" field in the upper part of the tab and press save. This will enable the "Set reminder" button and you can start setting reminders.
⚠️ If you don't see the "Channel email address" input field you are not the team's owner. To check this, please select the three dots next to the team name ("Public test team" in the screenshot above) and select "Manage team". Your user needs to be listed in the list of owners.
Step #3: Set a test reminder
Press the "Set a reminder" button in the tab and set a test reminder for a few minutes into the future (the default date is tomorrow so you have to adjust the date). Please note that the message might take a few seconds longer to show up since email delivery is not instant.
⚠️ Troubleshooting: If the reminder does not occur it could be for the following reasons:
- The "Get address for channel" functionality in Teams includes an option to filter which senders are allowed to send email to the channel. Please allow the teamsreminder.app domain here.
- If delivery still fails, it could be that your Teams admin has disabled this functionality. Please consider contacting them.
- You can do a quick test for delivery issues by sending a test email to the channel address using your usual email client. If your Teams admin has disabled this functionality, you will receive an error reply.
Things to consider / caveats
- To ensure Teams shows a popup notification when the reminder occurs please activate channel notifications by clicking the three dots next to the channel > Channel notifications > Custom and setting "Banner and feed" for "All new posts".
- To uninstall Remind from a private channel please remove the tab.
- If you would like to temporarily disable Remind for a private channel please set the channel email address field to an empty value.
- The "Get email address for channel" functionality in Teams includes an option for removing the email address from the channel. Remind will not be notified if this happens and reminders will be sent to the old address and not occur in the channel. You can get a new address from Teams and update the setting in the tab.
- The "Get email address for channel" functionality in Teams includes an option to filter which senders are allowed to send email to the channel. If you wish to set such a filter, please allow the sender domain teamsreminder.app so that reminders can occur in the channel.
- If email delivery fails the channel email address field will be set to an empty value automatically.

Get the id of a Teams channel
To get the id of a Teams channel you can use Graph API or retrieve it from the Teams client itself. Please press the three dots next to the channel name and select "Get link to channel".
Press "copy" and paste the link into a text editor.
The channel id starts after "channel/" and ends with "thread.skype", for example: 19%3Ab4d780bd0d584f44b360ddde97d6cdef%40thread.skype
Copy this part of URL into a tool like urldecoder.org to decode it and get the channel id, in this case 19:[email protected]
